Serving, Samples, and Catering at the Stand

Restaurant AKKC by MEST handles the serving and sale of food and beverages at AKKC. Therefore, as an exhibitor, you are not permitted to sell food or drinks for consumption at the fair from your stand. The exception applies if your business has the sale of food and beverages as a significant part of its core operations.

Non-Alcoholic Beverages
You are allowed to bring and serve your own non-alcoholic beverages at your stand, including water, soft drinks, juice, coffee, and barista service, provided that:
– Biodegradable serving materials are used
– Each serving does not exceed 2 dl (see section on corkage fees)
– You as the exhibitor comply with current hygiene regulations and ensure proper waste disposal

Alcoholic Beverages
You are allowed to bring and serve your own alcoholic beverages at your stand, including beer, wine, and spirits, provided that:
– Biodegradable serving materials are use
– You as the exhibitor comply with current hygiene regulations and ensure proper waste disposal
– See section on corkage fees

Important: If you wish to serve your own alcoholic beverages, this must be arranged in advance with Restaurant AKKC by MEST, which holds the liquor license for AKKC.
Upon approval, the serving of your own beverages will be covered by Restaurant AKKC by MEST’s liquor license.

All beverages – both alcoholic and non-alcoholic – that are purchased from and delivered to the stand by Restaurant AKKC by MEST are automatically covered by their license.
There is no quantity restriction on the serving of these.

Corkage Fees
The following are subject to a corkage fee:
– Serving of brought-in alcoholic beverages, regardless of quantity
– Serving of brought-in non-alcoholic beverages exceeding 2 dl per serving
Exception: Bottled water with your company’s own logo is exempt from corkage fees.

Samples
You are allowed to bring and distribute samples – such as candy, chocolate, cookies, nuts, chips, or other specialties – to visitors, provided that:
– Applicable food legislation is observed
– Pre-produced food products are kept refrigerated. If refrigeration is not possible, the product must be discarded after a maximum of 3 hours
– You as the exhibitor comply with current hygiene regulations and ensure proper waste disposal

Catering for Stand Staff
You are allowed to bring food and beverages for the staff working at the stand.

Name Badges

Exhibitor badges are for staff managing the stand during the exhibition. No exhibitor badge is required during setup and dismantling.

You can distinguish exhibition participants by the color of their lanyards:

  • Black: Visitors
  • Blue: Exhibitor

Complete the form and bring the registration either printed or on your mobile device.

Exhibitor badges can be printed at the organizer’s office in the foyer from Sunday, October 8, by scanning the QR code on your registration.

Each stand can order a maximum of 10 exhibitor badges.

Invite Your Customers
You can invite up to 50 customers with a free 3-day pass. If you wish to invite more than 50 customers, additional passes will be charged at 50 DKK per ticket.

Customers complete the form and bring the registration either printed or on their mobile device. Name tags will be printed upon arrival at the exhibition by scanning the QR code on the registration.

Send the link and invitation code to the customers you wish to invite.

Your invitation code is your stand number (e.g., for stand A100, enter A100). Remember to share this with your customers.

Stand Construction and Technical Requirements

Here you will find all the technical specifications and guidelines related to stand construction.

Stand System

Hanging on Stand Walls
Inquiries should be made at the Organizer’s Office (Hall D).

  • Hooks: For hanging lighter objects, to be mounted on the top of walls and fascia. It is FREE to borrow hooks in various lengths: 5 cm, 25 cm, 50 cm, and 75 cm. However, unreturned hooks will be charged DKK 25 per item excluding VAT.
  • Poster Strips: For hanging posters and other light materials directly on the white stand and fascia panels: DKK 4 per item including VAT. If other adhesives are used, they must be removed without leaving marks/adhesive residues. The cost for cleaning after using other adhesives will be charged to the exhibitor – minimum 1 hour at DKK 690 excluding VAT.
  • Nails and Screws: Nails and screws are not allowed to be used in stand panels and signage fascia.

A damaged stand panel/signage fascia will be invoiced at DKK 395 per item excluding VAT.

Stand Height
AKKC must be notified and approve if the stand height exceeds 250 cm. This is to ensure the safety and comfort of other exhibitors.

Floor Installation
Inquiries should be made at the Organizer’s Office (Hall D).

  • Carpet: When installing your own carpet, only the organizer’s double-sided carpet tape may be used: DKK 250 per roll excluding VAT.
  • Tiles: Concrete tiles or similar may not be installed directly on the hall floor. They must be supported by heavy plastic or fabric cloth.
  • Heavy Items: For example, a motor with concentrated pressure, it is recommended to place it on solid planks or wooden pieces to distribute the pressure over a larger surface area.

If the exhibitor causes damage to the floor, they will be held responsible for it.

Applicable for Exhibitors in Hall H
Entry to Hall H via Kildeparken requires special permission. All driving in Kildeparken must be done on paths, with the utmost consideration for the terrain.
Cars must be driven away immediately after unloading – see also ‘Parking’ below.

The entry permit, of which a maximum of one can be issued per stand, must be displayed in the windshield of the vehicle being used.
Entry and exit with other passenger or cargo vehicles are not permitted, and parking in Kildeparken is prohibited.

Parking

AKKC has a parking lot and a parking garage with space for 700 cars.

Additionally, there are two Q-Park parking garages, both just a 5-10 minute walk from AKKC through Kildeparken.

Overview of parking options
Activities at the Stand

The distribution of flyers/brochures and general stand activities must take place within the stand or in the adjacent aisle area directly connected to the stand.

Audio and visual equipment, or any other AV equipment, must be placed at least 1 meter away from neighboring stands or aisle areas. The noise level must not exceed 70 dB(A) when measured 1 meter from the stand.

Smoke machines and similar equipment that may disturb other exhibitors or visitors are not permitted.

Announcements
To avoid disruptive loudspeaker announcements, individual stand activities will not be announced.

Events organized by AKKC may be announced to a limited extent.

Guidelines for Serving Food and Beverages

Waste Sorting

Exhibitors must sort and dispose of waste in the designated containers and sorting areas.

Feel free to ask our service staff for guidance on proper waste disposal.

Waste must not be left at the stand or in the aisles.

As part of AKKC’s sustainability policy, we sort waste to ensure it can be reused or recycled.

Fire Safety

Beredskabscenter Aalborg is the highest authority regarding fire safety regulations. Emergency personnel will be present on all opening days, and their instructions must be followed at all times. Items may only be placed within the area purchased by the exhibitor. The use of flammable items must be approved in writing by Beredskabscenter Aalborg.

Open Flames: The use of open flames, including candles, is strictly prohibited.

Decorations: All highly flammable decoration materials, such as textiles and artificial plants, must be fireproofed.

Storage: The area behind the stand may not be used for storage of any kind.

Gas Cylinders & Grills:
Must be approved in writing by Beredskabscenter Aalborg.

Vehicles on the Stand: Must be approved in writing by Beredskabscenter Aalborg.

For gasoline/diesel-powered vehicles
The fuel tank must contain no more than 5 liters of fuel, and the cap must be locked. The battery must be disconnected. If multiple vehicles are displayed, they must be at least 3 meters apart. Keys must be handed over to AKKC’s security guard overnight.

For electric vehicles
The battery must be disconnected. Factory-produced electric vehicles must have a mechanical cable-activated parking brake. The gearbox must be mechanically locked with a steel pawl engaging the transmission. The key must be removed from the ignition system, and the handbrake must be engaged. Keys must be handed over to AKKC’s security guard overnight.

Cash Withdrawal

Cash withdrawals can be made at the Organizer’s Office (Hall D).
Danish kroner (DKK) only.

Copy & Print Service

Available at the Organizer’s Office (Hall D).

  • A4 black & white: DKK 2 per page (incl. VAT)
  • A4 color: DKK 5 per page (incl. VAT)

Printing is available from USB drives or email. The email address will be provided upon request.

Theft

A night guard will be present outside opening hours during the exhibition period, and an alarm system will be activated.

The organizer does not provide special surveillance for individual stands and cannot be held responsible for exhibited items.

In case of theft, please inform the organizer and report it to your own insurance company. Fortunately, theft is extremely rare.

Beware of scammers

Several companies are contacting exhibitors with offers for advertising in online exhibition guides or the purchase of attendee lists. These messages are often sent via email or letter and may appear official.

Important to know:

  • AKKC has no cooperation with these companies and has not shared any contact details or attendee lists.
  • They often operate with hidden costs and unclear contract terms.
  • Some exhibitors have unknowingly signed contracts and were later charged significant amounts – up to DKK 20,000 over three years – for services with little or no real value.
  • These companies often continue to send reminders for years, but we have never seen them follow up in person.

Our advice: Ignore these offers, sign nothing – and contact us if in doubt. You can find our contact information here.

Please note, however, that you may be legitimately contacted, in accordance with the general exhibitor terms, by DanFish’s official partners. For the upcoming 2025 exhibition, these are: Blue Water Shipping, Compass Fairs, Restaurant AKKC by MEST, Fiskeri Tidende, and BilletExpressen.
