§1 Terms of payment

An invoice on the total contract value is sent 8 weeks before the
exhibition. Payment is due 10 days after.

Any termination of the contract does not exempt the exhibitor from full or partial payment of the contract amount under the terms.

Late payment is equal to a late fee. Any additional orders to AKKC will be invoiced after the exhibition.

§2 Cancellation fee

The exhibitor can withdraw from the contract under the following conditions:

Until 6 months prior to the exhibition: 25% of the contract value.

Until 3 months prior to the exhibition: 50% of the contract value.

Less than 3 months prior to the exhibition: 100% of the contract value.

The organizer reserves the right to sell the stand to a third party. In all cases, registration fee is not refundable.

§3 Organizer’s right to change agreement

The location of the stand is agreed between exhibitor and organizer and, if possible, special wishes will be taken into notice. The organizer is entitled to change the agreed location with the exhibitor and to make restrictions in the agreed area. Restrictions can only be made against a corresponding reduction in the stand, but do not imply any liability for the organizer

§4 Organizer’s right to cancel agreement

Within 30 days of receipt of the signed contract from the exhibitor, the organizer is entitled, without giving cause and without liability, to completely cancel the agreement against refunding all payments made.

§5 Setting-up and dismantling of stands

Self-contained structure and exhibited items must be in place and the setting-up must be completed no later than 1 hour before the exhibition opens.

No items must be removed from the exhibitor’s stand before the exhibition closes.

The exhibitor is responsible for dismantling of all self-contained structure and exhibited items.

The organizer is entitled, at the exhibitor’s expense and risk, to dismantle all self-contained structure and exhibited items etc. which have not been removed by the exhibitor within the timetables for setting-up and dismantling set out in the exhibition handbook.

§6 Building height

Built-up height must not exceed 250 cm. If the height is desired to be exceeded, it can only be done in consultation with the organizer and may lead to an extension of the stand.

§7 Obligation for information on products on the stand

The exhibitor is required to report all exhibited products on the stand. If the exhibitor participates with products other than those originally notified, and therefore has obtained a location that does not comply with any possible branch group, etc., the organizer has the right, without notice, to reject, alternatively relocate the exhibitor.

Lending or sublicense of the right of use above the designated status is under no circumstances permitted. The exhibitor must in no way expose companies that are not registered as exhibitors.

§8 Rules of sale on the stand

The rules of the Danish Commerce and Companies Agency regarding trade at exhibitions allow for orders to be placed on the items that the trader normally sells to consumers at the usual price of the product, as well as direct sales of all the displayed goods. The rules are stated in Section 15, subsection 4.2. In order to make sales from the stand, it is also required that the exhibitor is registered with a valid VAT-number.

§9 Rules on activities at the exhibitions

Exhibition activities, including distribution of brochure material, etc. shall take place on the stand and the corridor in immediate connection with the stand. If the exhibitor violates these rules, this could in worst case result in expulsion.

§10 Liability and insurance

The exhibitor is liable for any damage caused by his or her personnel or equipment at the premises of the exhibition building, including floors, walls, signs, columns, etc., which must not be scratched, painted, damaged or applied to self-adhesive materials. Items that may damage the floor must be placed on protective surfaces.

The exhibitor must report the damage to the organizer and may not attempt to repair the damage himself.

The organizer is solely responsible for damage caused by failure or neglect of the organizer’s permanent staff. All exhibited goods and decorative materials are in accordance with the exhibitor’s responsibility and risk in every respect.

The exhibitor should, in his own interest, be in possession of all needed insurances.

The organizer disclaims any liability for damage to persons, exhibited goods and exhibitions, etc., including liability for the exhibitor’s possible loss caused by failure of power and water supply, all forms of wreckage, flooding, natural disasters, etc.

§11 Force Majeure

AKKC cannot be held liable to the exhibitor in the event of default or delay in the fulfillment of AKKC’s obligations, if this is due to an event that is outside AKKC’s control (force majeure). Force majeure includes, but is not limited to, epidemics, pandemics, plagues, natural disasters, war, civil war, utility crashes, terrorism, strikes, lockouts, or compliance with government rules or regulations.

In the event of force majeure, AKKC has the right to postpone the exhibition for up to 1 year and 1 month. If the exhibition is held within 1 year and 1 month from the originally scheduled period, the exhibitor is not entitled to a refund of the amount stated in the contract. If the exhibition cannot take place within 1 year and 1 month after the original period, the exhibitor is entitled to a refund of the amount stated in the contract.

§12 General Data Protection Regulation

At www.akkc.dk/om-akkc/persondata AKKC’s general rules for processing personal data can be found.

In connection with the completion of exhibitions, the organizer provides company information as well as information on contacts (name, email and phone) to the following third parties, which are subcontractors of services for the exhibition: FiskeriTidende, Blue Water Shipping, Restaurant AKKC by MEST, Compass Fairs, Wendelbo Flowers, BilletExpressen.

We have informed our subcontractors that personal information must be deleted after the end of the event. For more information about how our subcontractors handle the processing of personal data, we refer to their privacy policy / data policy.
